Department Description:

The Office of Financial Aid (OFA) is responsible for the awarding of Federal, State, and Institutional financial aid to Undergraduate and Graduate students at the University of San Diego. The OFA is also responsible for maintaining Federal, State, and Institutional compliance to ensure proper delivery of financial aid. This includes scholarships, grants, work-study, and loans. The OFA determines student eligibility using the Free Application for Federal Student Aid (FAFSA), the CA Dream Act Application, and the USD Dream Act Application. 76% of USD students receive some type of financial aid.

Detailed Description:

The Student Employment Coordinator manages the Student Employment Center.
The Coordinator is responsible for general training, staff development, and operational direction within the Student Employment Center.

Duties and Responsibilities:

Application and File Evaluation

  • Determines financial aid eligibility based on Federal Methodology and USD guidelines, using professional judgement.
  • Revaluates financial aid packages.

Applicant Advising

  • Counsel students and parents who have complicated situations on financial aid/personal matters with sensitivity;
  • Provides accurate and prompt information ensuring excellent customer service by serving as part of the Financial Aid Counselor of the Day rotation. This occurs primarily by phone and email with occasional face-to-face meetings;
  • Acts as liaison with other USD offices regarding student issues;
  • Collaborates with partner offices to assist families with questions and concerns.

Program Coordinator

  • Independently coordinates the Federal Work-Study Program, managing a budget of approximately $2 million and employing around 500 students (24/25 year figures);
  • Participates in the annual audit and FWS reconciliation/FISAP;
  • Prepares and monitors annual departmental FWS budgets, allocating funding to each department for their share of Work-Study student employee earnings;  
  • Provide various employment utilization reports and statistics as needed;
  • Assists in placement, recruitment, and management of FWS/CWO and Graduate FWS/CWO recipients in appropriate positions, ensuring compliance with Federal Work-Study regulations;
  • Assists in placement of NROTC Fellows in jobs for grant work component;
  • Facilitate positive supervisor/student FWS working relationships;
  • Supervise the annual Job Fair for students (primarily new students) to find suitable employment;
  • Create financial aid Intersession and Summer Session budgets, including for study abroad;    
  • Administers and supervise Intersession and Summer Session applications;
  • Supervises operations of JLD budget; exercises oversight and manages JLD budget;                        
  • Supervises placement of summer CWO recipients; monitors summer CWO applications, budgets, and earnings;
  • Supervises selection of USD Student Employee of the Year;                                          
  • Serves as liaison between OFA and the Mulvaney Center to ensure that USD maintain its commitment to FWS and community service;
  • Trains, supervises, and evaluates one full-time staff member who assists in records management and program procedures for the Federal Work-Study and JLD programs, as well as 3-5 student employees;    
  • Conducts supervisor training approximately once per year to ensure that supervisors have an overview of the program, to provide written guidance, and to build relationships with supervisors;
  • Serve as an alternate for the Director of Financial Aid at Cal-SOAP events. 

Other            

  • Creates presentations and represents USD at various workshops or informational meetings.
  • Attends relevant training and conferences;
  • Serves as the liaison between OFA and Parent Relations.

Degree Verification Requirement: Persons offered employment in this position will be required to provide official education transcripts for degree verification purposes. 

Job Requirements:

Minimum Qualifications:

  • Bachelor’s degree required
  • Minimum 3 years of fulltime experience in financial aid required.  The Student Employment Coordinator should have broad experience in federal and state student aid regulations, financial aid policy, need analysis, financial aid packaging methodology, student employment issues, and human relations.

  • Extensive knowledge and understanding of Title IV Regulations
  • Spreadsheet skills

  • Experience with Student Employment and FWS program
  • Public Speaking skills
Posting Salary:

$5,720-$5,750 per month; Excellent Benefits

The salary range provided in this posting reflects what we reasonably expect to pay for this position.  Actual compensation offered or earned is dependent on experience, education and other factors including departmental budget.
