Detailed Description:

Research, analyze, evaluate, and administer USD’s benefit programs. Responsible for managing employee leaves of absence as well as WorkDay benefits system administration and reporting.

Duties and Responsibilities:

Benefit Plan Administration 

This position will collaborate with the benefits team and the broader HR team to support the management of day-to-day operations for the benefits function. These activities may include but are not limited to:

  • Working with employees to answer benefit questions and troubleshoot benefits issues;
  • Organizing and scheduling various events;
  • Developing and distributing benefit educational materials;
  • Supporting new hire and open enrollment processes;
  • Conducting New Employee Benefits Orientations;
  • Participating in the administration of Tuition Remission and Tuition Exchange programs;
  • Day to day administration of assigned benefit programs

HRIS Maintenance and Development 

  • Conducts benefit testing and troubleshooting in the Workday benefits module; works with appropriate parties to resolve issues and ensure compliance
  • Develops reports or works with appropriate parties to develop needed reports
  • Assists with annual Open Enrollment and HRIS set-up/testing
  • Analyzes census data, monitors and manages benefit vendor data files, performs periodic benefits data audits, and responds to time-sensitive ad-hoc requests as needed
  • Implements benefit process improvements within the Workday benefits module.
  • Maintains benefits data integrity within Workday by developing processes to audit, analyze, resolve and mitigate current and future issues.
  • Keeps informed and research Workday Community for system updates and releases, issues and community user groups and make recommendations for system modifications and enhancements. Create action plan and executes changes in system and rollout to campus constituents.

Leaves of Absence

  • Administers leaves in compliance with state and federal regulations (FMLA, CFRA, PDL, HIPAA) and university policies and procedures.
  • Coordinates ADA accommodations including interactive process.
  • Counsels employees and managers on university leave of absence procedures and compensation during leave.
  • Coordinates the payment of benefits with payroll including the identification and notification of changes to start/stop dates, rates, record types; and monitor results.
  • Communicates with employee and supervisor/department throughout leave.
  • Provides reports/updates to departments as requested.
  • Processes employer portion of Long Term Disability packet(s).
  • Completes employer portion of claim form and forwards it along with supporting documentation to carrier.
  • Updates forms, standard operating procedures and leave of absence website.

Benefits Compliance 

Stays current on U.S. health care legislation and any proposed changes, providing recommendations and action plans on potential changes necessary for compliance.

  • Supports manager to ensure all employee data is accurate and readily available in a timely manner for IRS/ACA reporting and for preparation of forms 1094-C and 1095-C.
  • Supports manager with preparation and distribution of plan documents, annual discrimination testing, retirement plan audits, and annual Form 5500 reporting.
  • Provides reporting and documentation regarding employee eligibility; works with employees and vendors on daily eligibility and enrollment issues.

Job Requirements:

Minimum Qualifications:

  • Bachelor’s degree or equivalent in related field.
  • 4 years of work experience in benefits administration.
  • In-depth working knowledge of benefit management systems and related reporting and data analysis.
  • Advanced skills in MS Excel.
  • In-depth working knowledge of leave of absence administration and regulations.
  • Experience with ADA accommodations and interactive process.
  • Excellent verbal and written communication skills.

Preferred Qualifications:

  • Experienced with Workday benefits module.
  • SPHR or other related certification/s.
  • Fluency in oral and written Spanish; ability to translate as needed.

  • Excellent interpersonal and customer service skills
  • Must be self-directed, resourceful with creative problem solving
  • Knowledge of federal, state, and local laws related to Benefits, i.e. Affordable Care Act, 403(b), COBRA, Section 125 Cafeteria plans, Workers Compensation, FMLA, PDL, CFRA
  • Considerable working knowledge of computers, word processing, spreadsheets, and databases required
  • Ability to interact with all levels of management and employees across multiple departments
  • General knowledge of the HR department and its functions
  • Ability to analyze and assess situations and respond with the appropriate course of action
  • Excellent organizational and time management skills; ability to multi-task and effectively manage work flow
  • Excellent math skills
Posting Salary:

$5,833.33 - $7,500 per month; Excellent Benefits

The salary range provided in this posting reflects what we reasonably expect to pay for this position.  Actual compensation offered or earned is dependent on experience, education and other factors including departmental budget.
