| Detailed Description: |
The Program Coordinator leads and manages student success and transition support initiatives including early intervention and outreach at critical points during the undergraduate student lifecycle. Serve as the initial point of contact for leave of absence and withdrawal requests for undergraduate students. Manage the process and communication with students. Establish and provide ongoing, inclusive, and collaborative outreach to support students throughout various transitions while at the University. Supervise and lead student staff to create and foster a dynamic, inclusive, and engaging space in the Center for Student Success.
Serves as the first point of contact with visitors calling or visiting the office when student support staff are not available. Periodically, this position may be asked to lead or contribute to either ad hoc or ongoing division/campus projects outside the scope of their day-to-day activities.
Duties and Responsibilities:
Center for Student Success Initiatives
- Provide oversight and direction for CSS student success and transition support initiatives including:
- Early Intervention and Outreach – Coordinate early intervention and outreach efforts among colleagues across the institution to support students identified as needing additional support to succeed at USD.
- Mid-term - Oversee implementation of individual outreach effort in the fall and spring semesters to undergraduate students receiving two or more mid-term deficiencies to support student success
- Course Registration - Direct administrative effort to identify institutional barriers and/or individual student circumstances preventing undergraduate students from registering for classes in the Fall and Spring semesters
- Convene an activity-based team with members from Office of the Registrar, Financial Aid, Torero Hub, Shiley-Marcos School of Engineering, College of Arts and Sciences, Knauss School of Business, International Center, Student Support Services, Residential Life, and Athletics regarding course registration
- Oversee distribution of data and request inquiry regarding the individual circumstances of students who have not registered for classes for the subsequent semester
- Direct review of individual students who have not registered with activity-based team members to design and conduct outreach to support students in registering for courses
- End of Semester (Fall and Spring) – Coordinate outreach to students identified as carrying a less than full time courseload
- Student Success Workshops – Institutional partnership with College of Arts & Sciences, Knauss School of Business, and Shiley-Marcos School of Engineering to serve all undergraduate students placed on scholastic probation
- Facilitate meetings with students seeking support and workshops as needed/scheduled.
Leave of Absence and Withdrawal Processes
- Serves as the initial point of contact to counsel students considering taking time away from the University or transferring regarding their options including undergraduate leaves of absence (LOA) approx. 150 per year or withdrawal approx. 120 per year, and supports students in completing necessary forms and exit interviews, as needed.
- Processes leave of absence and withdrawal forms. Responsible for maintaining accurate and complete data.
- Communicates students’ leave of absence or withdrawal status to campus partners including: Torero Hub, Student Accounts, Financial Aid, Deans Offices, and Housing.
- Follow-up with students who have inquired about a leave of absence or withdrawal to offer additional support, assistance, or consultation about their future plans.
- Create and implement an outreach plan to students who are expected to return to USD after a leave of absence to support their transition back to USD.
- Maintain the leave of absence and withdrawal manual.
- Track leave of absence and withdrawal data.
Student staff supervision, advising, and mentoring
- Schedule and lead student staff meetings to provide ongoing, intentional, and equitable developmental support.
- Schedule one-on-one check-ins with graduate assistant and student staff when needed.
- Conduct performance evaluations and provides ongoing performance feedback to student staff.
- Coordinate selection process for open positions, including recruitment, hiring, and training for new student staff.
- Create student staff schedules and ensures office has coverage during hours of operation.
- Consult and support Student Success Coaching program managed by Graduate Assistant.
Administrative/Department support
- Serves as main point of contact for the Center for Student Success physical office.
- Manages phone calls and emails from students and parents regarding general information.
- Manages daily operations of office space to procure supplies, equipment, and technology needs.
- Supports and assists with assessment efforts in all areas of responsibility including office space usage, program, and outreach.
- Maintains and updates CSS web pages regularly with up-to-date information.
- In collaboration with the CSS Graduate Assistant, create and implement a comprehensive marketing calendar for Student Success Coaching program, CSS outreach, and programs.
- Serve on committees as appropriate.
- Occasional, additional responsibilities.

| Job Requirements: |
Minimum Qualifications:
- Graduation from an accredited college or university with a Bachelor’s degree in related field (i.e., education, social work).
- Two years of work experience required. Master’s degree from an accredited college or university in education or social work, or a job-related field may be substituted for one year of work experience.
Preferred Qualifications:
- Prior work experience in a higher education setting working directly with college-level students in mentoring or advising strongly preferred.

- Computer literacy and experience using Google Suite
- Willing and able to work occasional evenings and weekends.
- Ability to maintain confidentiality.
