Detailed Description:

The executive assistant organizes, manages and coordinates all administrative efforts in support of the College Dean’s Office and academic departments. The EA serves as the primary contact for university personnel, students and parents, and external contacts including the general public. The executive also supports the Associate Dean for Faculty and Curriculum and other College Dean’s Office personnel as needed.

Duties and Responsibilities:

College of Arts & Sciences dean’s office functions

  • Provide general office coverage and support Monday through Friday from 8:30 a.m.-5 p.m.
  • Answer or direct general inquiries by phone & email
  • Greet and direct visitors
  • Receive and sort mail
  • Coordinate deliveries and technical services
  • Order department supplies using university protocols
  • Process financial paperwork in applicable university system
  • Ensure department facilities are maintained as needed
  • Other duties as assigned

Dean’s office projects

  • Supports Undergraduate Studies as needed (includes HC, Transfers, Honors letters)
  • Support the chair of Academic Assembly
  • Support the diversity postdoc committee
  • Support the University Curriculum Committee
  • Support College Assessment TeamCoordinate College faculty awards
  • Support the organization of chairs retreats and other meetings

Events

  • Execute internal College events
  • Provide administrative support for Honors Convocation
  • Organize, execute, and provide administrative support for other events as needed

Supervision of Work Study students

  • Supervise work-study student activities
  • Approve time cards
  • Delegate tasks; provide performance feedback and mentoring
  • Advertise positions and hire work-study students, as necessary

Job Requirements:

Minimum Qualifications:

  • Requires HS Diploma and four years of experience or Bachelor’s degree and two years of experience in a position that requires critical thinking and analytical skills.
  • Proven record of superior customer service skills and a commitment to keep improving those skills
  • Excellent communication skills with demonstrated capabilities of maintaining confidential information and handling sensitive data with discretion and tact.
  • Must possess the ability to handle multiple tasks, deadlines, and time constraints in a calm and effective manner.
  • Takes initiative in all performance areas
  • Detail oriented, independent thinker and worker who has the ability to make appropriate judgment calls as needed on a case-by-case basis, as well as work in a team environment.
  • Proven ability using computers for business/accounting applications.

  • Word, Excel, Power Point, Google office systems, Cascade CMS, Docusign, Concur, Workday

$24-30 per hour; Excellent Benefits

The salary range provided in this posting reflects what we reasonably expect to pay for this position.  Actual compensation offered or earned is dependent on experience, education and other factors including departmental budget.
