Department Description:

The Office of Financial Aid (OFA) is responsible for the awarding of Federal, State, and Institutional financial aid to Undergraduate and Graduate students at the University of San Diego. The OFA is also responsible for maintaining Federal, State, and Institutional compliance to ensure proper delivery of financial aid. This includes scholarships, grants, work-study, and loans. The OFA determines student eligibility using the Free Application for Federal Student Aid (FAFSA), the CA Dream Act Application, and the USD Dream Act Application. 76% of USD students receive some type of financial aid.

Detailed Description:

Assist the Student Employment Coordinator in the overall administration of the Federal WorkStudy Program; Initial contact person for the development of off-campus jobs, as well as liaison between employers and students. Participate in processing of Financial Aid which includes form review, need analysis, and data load 

Duties and Responsibilities:

Organizes and manages Federal Work-Study (FWS) hiring process 

  • Updates annual budget memos and Google forms for FWS Supervisors 
  • Updates online FWS Job Board
  • Processes onboarding through Workday for students working through FWS 
  • Includes initiating background checks, email correspondence, I-9 communications 
  • Plans and coordinates FWS Job Fair
  • Plans and coordinates FWS Supervisor Workshop 
  • Updates presentation slides and relevant handouts annually 
  • Serves as co-presenter with Student Employment Coordinator 
  • Tracks earnings of students in FWS program

Supervises Student Assistants

  • Participates in interviewing, hiring, and training of new student assistants 
  • Delegates projects as necessary

Assists with processing and awarding of financial aid awards for Intersession and Summer 

  • Assists with updating summer and intersession budgets, airfares for study abroad 
  • Assists with updating and revamping the eForm applications

Advises students, parents, and departmental supervisors/budget managers regarding FWS and financial aid procedures and policies 

Participates in Banner Dataload of Institutional Student Information Records (ISIRs) averaging 4 hours/week (peak period: Feb – Sept)

Manages the operation of JLD Program 

  • Updates Job Advertisement Packet Google Form
  • Enters Job Information into Microsoft Access to generate referrals for interested student applicants 
  • Creates Job Postings with information received from employers 
  • Updates Student Employment Page on MySanDiego Portal

Participates in FWS form and document updating 

  • Updates Guide for USD Student Employees and Guide for Supervisors of USD Students Employed Under the Federal Work-Study Program annually 
  • Assists in updating eForms, including: FWS Appeal Form, FWS Acknowledgement and Background Check Form, Intersession Supplemental Application, Intersession FWS Application, Summer Supplemental Application, Summer CWO Application, Job Location and Development Job Request Form

Generates Salesforce Reports for Office of Financial Aid / Student Employment Center processes

Participates in Form Review and Need Analysis 

  • Reviews forms submitted as part of financial aid need analysis process Using USD and Federal Guidelines, applies need analysis to verify student financial aid info

10. Manages Social Media Presence and webpages for the Student Employment Center 

  • Updates Student Employment web pages via Cascade
  • Serves as backup for additional web pages on USD Financial Aid Webpage

Assists with annual reconciliation of FWS program 

Attends webinars and workshops 

Background check:  Successful completion of a pre-employment background check.

Degree Verification Requirement: Persons offered employment in this position will be required to provide official education transcripts for degree verification purposes. 

Job Requirements:

Minimum Qualifications:

  • High School Diploma or equivalent
  • Good Customer Service 

Preferred Qualifications:

  • B.A. preferred but not required
  • Prefer experience working with college-aged students and financial aid

  • Organizational skills: Written and verbal skills, Phone skills and Detail Oriented
  • Ability to work with constant interruptions
  • Ability to relate to a variety of people on the phone and in person
  • Good interpersonal skills
  • Word processing and data entry experience
  • Knowledge of Federal regulations governing all Federal Assistance programs
  • Knowledge of USD assistance programs
  • Knowledge of Federal Methodology
  • Knowledge of Federal regulations governing student employment
  • Knowledge of USD Financial Aid Office policies and procedures
  • Experience with mainframe computer system. Use discretion with regard to sensitive information
Posting Salary:

$23.45-26.72 per hour; Excellent Benefits

The salary range provided in this posting reflects what we reasonably expect to pay for this position.  Actual compensation offered or earned is dependent on experience, education and other factors including departmental budget.
