Detailed Description:

The Assistant Director of Academic Services coordinates academic support, tutoring services and supervised study hall for scholar athletes at the University of San Diego. 

Provides support for the academic and athletic pursuits of scholar-athletes while promoting intellectual growth, full freedom of choice and decision, realistic self-appraisal, self-reliance, healthy behaviors, responsibility, accountability, integrity and achievement of personal and educational goals. The Assistant Director will also serve as an academic counselor to designated teams. Supervision received from the Associate Athletic Director for Scholar - Athlete Development. This position close supervises approximately 15-20 tutors and assigned student workers (if applicable).


Job Duties

Academic Services 

  • Introduces academic resources and services, explains purposes and goals of academic support program to scholar-athletes at annual initial and continuing eligibility meetings.
  • Coordinates the tutoring program, including the recruitment, hiring, training, and evaluation of tutors. Works in conjunction with human resources and departments on campus to meet the tutoring needs of athletes.
  • Instructs and directs tutors and student workers to ensure the implementation of best practice methodologies as it relates to tutoring, study hall and academic support.
  • Oversee study hall and monitor attendance for all sports. Prepare weekly study hall hours/reports for coaches, sport facilitators and academic staff.
  • Each semester in conjunction with the USD Bookstore, organizes, distributes and returns textbooks for scholar-athletes who receive books as part of athletic aid.
  • Coordinates periodic grade checks each semester for at-risk student athletes.
  • Computes individual and team GPA’s for individual and conference awards.
  • Handles the nomination process and drafts the nomination forms for all academic honors, scholarships and degree completion awards.
  • Updates athletic academic support services and information on the website.
  • Maintains supplies and equipment in the computer laboratory of the Academic Support Center.

Academic Counseling – Teams to be Determined

  • Provides one-on-one academic counseling. Monitors academic progress of student athletes through in-person contact and direct contact with professors (as needed).
  • Assesses individual athletes regarding academic performance, graduation plans, time management, goal setting, learning and study strategies, test taking, note taking, and other skills necessary for academic success.
  • Ensure ongoing, effective communication with athletic academic support staff, compliance and head coaches regarding academic performance of assigned teams.
  • Communicates with head coaches and sport facilitators regarding scholarship athletes’ expected degree completion dates.
  • Monitors and tracks for NCAA, conference and institutional eligibility.
  • Maintain eligibility and advising files on assigned student-athletes
  • Assists students with the selection of proper courses each semester, including intersession and summer sessions.
  • Reviews class schedules each semester to ensure student athletes are enrolled in degree applicable units and maintaining continuing eligibility standards.
  • Monitors adding and dropping of course work for degree progress and continuing eligibility purposes.
  • Collaborates with the Associate AD for Scholar Athlete Development, Assistant AD of Compliance and Faculty Athletic Representative for preparing NCAA and West Coast Conference academic reports.
  • Advises and reminds faculty members of individual class conflicts with travel to “away” contests for assigned sports.
  • Assists coaches in the recruiting process by reviewing transcripts, discussing academics and sharing information about the University of San Diego with prospective athletes, parents and/or guardians during campus visits.
  • Collaborates with the Associate AD for Scholar Athlete Development, Coordinator of Student-Athlete Development and Academics, and Student-Athlete Development Assistant to ensure a comprehensive understanding and ability to administer all aspects of each other’s assigned sports and assist when necessary.
  • Perform other duties as assigned.
Job Requirements:

Minimum Qualifications:

  • Bachelor’s Degree required. 
  • Experience working in an intercollegiate athletic department or as a collegiate student 
    athlete preferred.
  • Working knowledge of NCAA rules and regulations.

Preferred Qualifications:

  •  Experience in a supervisory role. 

Performance Expectations: Knowledge, Skills and Abilities

  • Ability to counsel students in decision-making processes related to goal setting.
  • Interpersonal skills to work effectively with scholar-athletes and make appropriate referrals to campus resources and services.
  • Ability to balance time constraints and a heavy workload. 
  • Experience in both short and long-range planning with an attention to detail.
  • Excellent presentation, oral communication and writing skills
  • Ability to coordinate activities and events either individually, as part of a team or in collaboration with other departments.
  • Ability to think critically in order to methodically, strategically, and collaboratively make decisions, solve problems, and foster innovation.

Special Conditions of Employment:

  • Ability to work nights, weekends and some holidays as required.
  • Ability to travel with teams as needed.
  • Successful completion of required background checks.
  • Heartsaver CPR /AED certification required. Must have this certificate within 6 weeks of employment.
  • California driver’s license required within 6 weeks of employment.
